Job Title: Events Manager
Term of Employment: May 1, 2026 – April 30, 2027
Expected Hours: An average of 15 hours per week (flexible based on event schedule)
Salary: $18.50/hr
Reports to: Director of Operations & Services
Job Summary: The SRC Events Manager is responsible for planning, organizing, and executing student-focused events under the Bishop’s University Students’ Representative Council (SRC). This role plays a key part in shaping campus life by coordinating major social and community-oriented events, such as Orientation Week, Winterfest, Hallowfest, blood drives, and Grad Formal, as well as other recreational and cultural activities, in keeping with the values and vision of the SRC. The Events Manager is a key member of the Communications and Engagement team. The Events Manager will work closely with student coordinators and committees of volunteers to ensure all events are safe, inclusive, and engaging for the entire Bishop’s student community.
Requirements:
- Must be a full-time or part-time degree student, in good academic standing, at Bishop’s University, enrolled for the 2026-27 academic year.
- Must be in good standing with Campus Security and the Vice-Principal of Student Affairs office
- Must be present at Bishop’s University from mid-August 2026 – April 30, 2027
- Must be willing to put their SRC responsibilities as their highest non-academic priority.
Key Responsibilities:
Major Event Planning & Execution:
- Lead the planning and execution of major SRC events, including but not limited to:
- Orientation Week: Organize activities, entertainment, and logistics to welcome new students and introduce them to the Bishop’s community.
- Hallowfest: Plan and organize activities, in collaboration with the Gait managers
- Winterfest: Plan and oversee the SRC’s annual winter celebration with social events and activities.
- Blood Drives: Partner with Héma-Québec to facilitate on-campus donation events.
- Grad Formal: Manage all aspects of the formal celebration for graduating students, including venue booking, catering, entertainment, and ticketing.
- Work with a team of student coordinators to develop event programming that reflects student interests.
- Ensure that all events adhere to safety and risk management protocols, including university policies and government regulations.
- Prioritize inclusivity and accessibility, ensuring events cater to diverse student needs and backgrounds.
Additional Event Planning & Support:
- Organize a variety of social, recreational, and cultural events that enhance student life on campus.
- Assist in developing new events based on student interests and feedback.
Marketing & Promotion:
- Collaborate with other members of the Communications & Engagement Team to develop marketing strategies for events, including social media campaigns, posters, and email communications.
- Oversee the event coordinators.
- Ensure event promotion reaches a diverse range of students, fostering an inclusive campus experience.
- Develop creative themes and branding for major SRC events.
Budgeting & Financial Management:
- Prepare and manage event budgets, ensuring cost-effective planning while maximizing student experience.
- Collaborate with the Marketing Manager to source and negotiate with vendors, sponsors, and partners for services and funding opportunities.
- Track event expenses and ensure responsible spending.
Leadership & Collaboration:
- Work closely with the Director of Communications and Engagement and other SRC staff to align events with student needs and strategic goals.
- Recruit, train, and oversee event coordinators and committees of volunteers to assist with event planning and execution.
- Foster a collaborative and supportive team environment for volunteers.
- Act as a liaison between the SRC, university administration, and external partners regarding event planning and execution.
Post-Event Evaluation & Reporting:
- Gather feedback from attendees and volunteers to assess event success and areas for improvement.
- Maintain records of event attendance, budgets, and key learnings to inform future planning.
- Provide reports on event outcomes and recommendations.
Skills required:
- Experience in event planning, student engagement, or volunteer coordination.
- Strong organizational and project management skills with attention to detail.
- Excellent communication and interpersonal skills to engage with diverse student populations and stakeholders.
- Ability to work independently and in a team-oriented environment.
- Budget management experience and ability to negotiate contracts.
- Creativity and problem-solving skills to enhance student event experiences.
- Familiarity with Bishop’s University campus culture is an asset.
- Proficiency in Microsoft Office and event management tools.
- French language skills are an asset.
- Past involvement in Orientation Week is an asset.
