Term of Employment: May 2026- April 2027
Expected hours: Variable (1-2 meeting(s) in May, approximately 5 hours per week during June and July, an average of 10 hours per week in August, full-time during Orientation Week, and then variable based on other events)
Must be on campus as of mid-August for Orientation Week training
Honorarium: $2000
Job Summary:
The Event Coordinators play a key role in organizing and executing events that enhance student life in keeping with the values and vision of the SRC. Working closely with the Events Manager, these individuals will help plan and implement major student events, including Orientation Week, Winter Orientation, Winterfest, and Grad Formal. This role requires strong organizational skills, creativity, and a passion for student engagement.
Key Responsibilities:
- Orientation Week Planning & Execution: Collaborate with the Events Manager to organize Orientation Week for incoming students, ensuring a smooth and engaging experience.
- Winter Orientation: Assist in the planning and coordinating the winter welcome for new students.
- Winterfest: Assist with planning the SRC’s annual winter celebration with social events and activities.
- Other events: assist with organizing grad formal, Hallowfest, blood drives, pet support days and other possible events.
- Event Logistics: Manage event logistics such as booking venues and coordinating with vendors.
- Volunteer Coordination: Help to recruit, train, and supervise volunteers to assist with events.
- Budget Management: Assist in managing event budgets, ensuring efficient allocation of resources.
- Marketing & Promotion: Work alongside the communications team to promote events via social media, posters, and other marketing channels.
- Stakeholder Engagement: Liaise with student organizations and external partners to ensure successful event execution.
- Risk Management: Ensure all events comply with safety regulations and university policies.
- Post-Event Evaluation: Collect feedback and analyze event success to improve future programming.
Qualifications & Skills:
- Must be a full-time or part-time degree student at Bishop’s University enrolled for 2026-27.
- Must be in good academic standing and have security clearance from the University.
- Experience in event planning, student leadership, or related fields is an asset.
- Strong organizational and time management skills.
- Ability to work collaboratively in a team-oriented environment.
- Excellent communication and interpersonal skills.
- Ability to multitask and work under pressure in fast-paced settings.
- Proficiency in Microsoft Office.
- Enthusiastic, creative, and detail oriented.
- Willingness to work evenings and weekends as needed.
